BS&P CPAs & Consultants’ fifty year practice is recognized as a trusted business partner in Western New York. The certified public accounting and wealth management firm consists of 65 members.  The Office Manager  is responsible for overseeing the administrative department and assisting our Firm Administrator with administrative responsibilities.

Located in the Larkin District, the firm is looking for an Office manager with at least three years experience to join our rapidly growing and energetic firm.

 


 

Essential Job Functions:

  • Assist firm administrator with all aspects of the administrative functions.
  • Supervise and coordinate scheduling of administrative department.
  • Train administrative staff to process client tax returns and financial statements.
  • Review administrative staff processing of client tax returns and financial statements.
  • Train administrative staff on the phone system.
  • Due date monitoring of work in process for the administrative area.
  • Prepare month end time reports.
  • Email client accounts receivable statements on a monthly basis.
  • Post client information to ShareFile Portal systems.
  • Generate Work-In-Process sheets for management, prepare invoices and mail/email invoices.
  • Accurately post time to client related work and post miscellaneous client charges.
  • Assist with processing client tax returns and financial statements.
  • Assist with E-filing using tax software.
  • Assist with setting up new clients in Practice Management system.
  • Provide assistance to all staff members including producing letters, mailings, client financial information, distributing faxes, etc.
  • Technical assistance with AV equipment in conference room and other offsite events.
Requirements:

Minimum of three years related experience in administrative tasks/duties and managing people, professional service experience preferred

Working knowledge of MS Word, Excel and Power Point and Adobe.

Detail-oriented and organized

Excellent writing, editing, proofreading and verbal communication skills

Must be able available to work 45-55 hours a week including some Saturdays March - April 15.
